Oral and Poster submission guidelines and Poster setup/removal information.

Oral Presentation Guidelines

  • Oral presenters have been assigned either 15 or 20 minutes for the presentation depending on the submission type. If you are unsure of how much time, please .  This time includes discussion/Q&A time.  It is recommended to leave 2-5 minutes for discussion.
  • The meeting room is equipped with the following:

  • Oral presenters are required to provide their own laptop with a VGA or HDMI connection. If you require an adaptor or dongle, you must bring it with you.
  • Slides are best created in 16:9 aspect ratio to fit the screens appropriately.
  • Wireless internet is available but it is not recommended for streaming videos. If you will be showing video during your talk, it is recommended to download and embed the video in your presentation.

The 2 page extended abstract submitted during the submission process will be available to all delegates through the Conference App and as a digital download from the website.

Poster Presentation Guidelines


  • Poster size is limited to 4 feet (height) by 6 feet (width)
  • Posters must be created in landscape format.
  • Push Pins will be available to attach your poster to the poster board. Tape, glue and other adhesives are not to be used on the poster boards.
  • Each poster has been given a unique Poster Number.  Please note the session you are presenting in is represented by the first number in the poster number (ex. 1-A-4 is in the first poster session)

Poster Pointers

  • Keep text to a minimum
  • Ensure text is in large font (should be able to see from 4 ft. away)
  • Use graphs, charts, and/or tables
  • Ensure contents have a logical flow
  • Make it colorful
  • Do not include an abstract
  • Avoid titles with colons
  • Don’t use underlining, use italics instead

Mini-handouts of posters are encouraged in order to stimulate ad hoc discussion, and to provide participants with a useful copy for their own reading.

Poster Sessions

Poster presentations have been divided into 3 sessions and arranged based on poster themes. Posters will be on display as follows:

Poster Session 1

  • Monday June 12, 2017, between 10:00 and 19:00

Poster Session 2

  • Tuesday June 13, between 10:00 and 19:00

Poster Session 3

  • Thursday June 15, between 10:00 and 19:00

Mandatory Hours

Please ensure you are present at your poster during your scheduled poster session from 17:00 – 19:00.

  • 10:00 – 10:30 (coffee break)
  • 12:00 – 13:30 (lunch off site)
  • 15:00 – 15:30 (coffee break)

It is recommended that you put up your poster in the morning and you are welcome to use the coffee break time to present your poster or have further discussion

Poster Set-up / Removal

Poster presenters must set-up and remove their posters during the following times:

Poster Session 1

  • Set-up: Monday June 12 08:00 – 10:00
  • Remove: Monday June 12 after 19:00

Poster Session 2

  • Set-up: Tuesday June 13 08:00 – 10:00
  • Remove: Tuesday June 13 after 19:00

Poster Session 3

  • Set-up: Thursday June 15 08:00 – 10:00
  • Remove: Thursday June 15 after 19:00

Early removal of posters is not allowed.  Posters not removed by the above noted times will be removed and disposed of accordingly.

Digital copies of poster abstracts will be available on the ICAVS app.
